Who You Will Meet - Your Emburse Enterprise Project Team

 Your Customer Success Manager will be your guide and strategic partner during your onboarding with Emburse and throughout your long-term relationship with us. Shortly after signing with Emburse, your Customer Success Manager will reach out introducing themselves and welcoming you to the Emburse family. The email will outline the process for gathering requirements, defining a project plan, and the critical meetings we’ll coordinate with your team to make sure that you launch quickly and successfully. Your CSM will want to work closely with you to understand your short and long term objectives with Emburse, and will work to provide you with everything necessary to reach those targets.

 ​Upon completion of your initial discovery information, you will be introduced to your Emburse Consultant. Emburse Consultant are specialists in the analysis, design and implementation of the Emburse Enterprise software. They are responsible for managing the project plan, enforcing scope control, coordinating internal resources and ensuring the overall success of the project. Your Emburse Consultant has expertise in expense management business processes and understands how to best translate your business requirements into a Emburse Enterprise configuration design that will best meet your needs. The more comfortable you are with the general appearance, navigation and flow of the application, the better positioned you will be to discuss specific changes required for your implementation.

During implementation, we will use your production environment for configuration and validation. Prior to go-live, we will complete a database clear to remove test data from your production environment. If your organization has subscribed to a User Acceptance Testing (UAT) environment, your UAT environment will be created 1-2 weeks prior to go-live. Once live, any change requests will be configured and validated within your UAT environment and once validated, changes can be pushed to your Production environment.

One of the first things your Emburse Consultant will do is to walk you through our implementation methodology to ensure that you have a clear understanding of how the project will be run. The phases and timelines of the implementation project will vary based on the 

 purchased, however, below are some key items that apply to all projects.

During implementation, we will use your production environment for configuration and validation.

 Prior to go-live, we will complete a database clear to remove test data from your production environment. If subscribed to a UAT environment, it will be made available to you immediately following production "go live".

All configuration requirements will be gathered by your Emburse Consultant via a series of discovery workshops and additional requirement clarification sessions, as needed. When all requirements are fully captured and signed off, we will proceed to configure the system to meet these requirements. You will have the ability to make a round of small changes or "tweaks" to the configuration. These rounds of changes are called sprints and the number of sprints allowed is determined based on the implementation package purchased. It is important to note that new requirements are not to be introduced in sprints but we do understand the need for small changes or refinements and are happy to work with you on these. Your Emburse Consultant will work closely with you to help you understand the types of things that can be addressed in sprints.

The implementation package purchased identifies all items that can potentially be part of your implementation project. Not all customers have a need to implement every item available in their package. Your particular project scope will be defined by you and your Emburse Consultant. Items that may have been allowed by your implementation package but which you elected not to implement as part of the project cannot be added (without additional cost) once the project concludes.

Components of the Emburse Expense Enterprise User Interface

The Report Header is presented when the “New” or “+” button is clicked to start a new expense report

The default Report Header contains the following fields:

Report Name – Employees are asked to provide a descriptive name for their expense report

Pay Me In Currency – Typically defaults to a single reimbursement currency for an employee, however, multiple pay me currencies for an employee is supported

Additional fields can be added, if necessary

The Invoice Header is presented when the “New” or “+” button is clicked to start a new invoice

A Mosaic is a set of expense types available for a particular user add to an expense report.

A Mosaic is composed of Drawers and Tiles

Expense types are typically grouped into expense categories

An expense category tile drops down a “drawer” containing a grouping of similar expense types

An expense type tile may exist on it’s own or within a “drawer”

Each expense type is associated with a particular Entry Layout, sometimes referred to as a Form. An entry layout is a set of fields presented when the expense type is selected.

Expense Types and Mosaics

There are two types of Policy Compliance Rules supported by Emburse Enterprise

Line Item Compliance rules are designed to “fire” a warning or violation for a line item on an expense report or invoice if the line item does not follow the company’s specified criteria
Ex: First class Airfare expense line item is added, but company policy does not allow first class travel. Either a warning or a violation can fire.

Submit compliance rules are designed to “fire” a warning or violation when an expense report or invoice is submitted and does not conform to configured company policy.
Ex: Expense report does not have a required pre-approval attached. A violation could fire to prevent them from submitting the report.

Compliance and Submit Compliance rules can trigger either warnings or violations


A Compliance or Submit Compliance Warning is a “soft stop”. It allows the user to type in a response and save the line item for submission. The warning message and user response are made visible to report approvers.


A Compliance or Submit Compliance Violation is a “hard stop”. The user must correct the line item or other report information to satisfy the compliance criteria in order to submit the report.

A standard set of policy compliance rules are pre-configured for each Emburse Enterprise customer.

Policy Compliance Rules

Our Emburse Enterprise consultants have extensive knowledge and experience posting and paying expense and invoice reimbursements to a wide range of financial systems

Understanding your current financial processes is important for us to develop a comprehensive allocation design. There are two tabs within the Emburse Enterprise Business Requirements Document (provided to you by your CSM) that ask a number of detailed questions to help us gather the necessary information. We hope you are able to take the time to complete the workbook and provide as much supporting data as possible prior to the start of the project.

Following is the type of information we will work with you to understand:

How many different financial systems will we need to send information to?

If multiple, how do we determine which financial system an expense report / invoice should be sent to for processing? (i.e. is it based on a particular attribute of an employee such as their business unit, division, cost center, etc.)

How many different Chart of Accounts (distinct sets of GL account codes) will we need to accommodate?

If multiple, how do we determine which COA to use when an employee is entering a report?

How will employee reimbursements be made (via AP, Payroll, Emburse Enterprise Direct Pay)?

How will corporate card payments be made?

Is the entire bill paid on a monthly basis or only approved expenses paid on a monthly basis?

Is a single payment made, or do various areas of the business handle their own payments?

Will employees be entering expenses that need to be billed to a customer or other third party?

Every expense entered on an expense report must be associated with an allocation. The allocation field is a “google” searchable field that allows a user to identify how a particular expense should be “charged”. The allocation may represent an organizational attribute (such as division, department, cost center), a billable client (matter) or some other cost tracking object such as a project or fund.

A line item can be "split" across multiple allocations by using the "Add Allocation" button underneath the Allocation field. We also allow users to save a set of allocations that they may use frequently. This is called our "presets" option.

Another important aspect of the allocation design is to ensure that all line items are assigned to the proper GL Account when posting to your General Ledger. Emburse Enterprise has a variety of ways to accomplish this. Whether the GL account code is simply defined based on the expense type or whether it is derived based on a combination of user attributes, report selections or both, your Implementation Consultant will be able to design a solution to meet your needs.

Emburse Enterprise will work with your project team to define and configure your expense / invoice approval workflow

Flexible Line Item Routing, Approvals and Returns

Emburse Expense Enterprise routing is line item based. That means that every expense can follow an independent work flow, if appropriate. For example, if you have a policy that business meals over $100 must be approved by AP Review, if an expense report has a taxi expense for $15 and two business meals, one for $50 and one for $150, only the business meal for $150 would be sent to AP Review for approval. The advantage to this approach is that payments for approved items are not held up due to one issue, which could take time to resolve.

Approvers can also individually elect to approve, return or adjust line items on an expense report.

Approvals can be sent to individual approvers or approval "queues". Individual approvers will receive an approval email and can elect to approve or return the entire expense report directly from the email. They can also login to the application and approve from their approval dashboard.

Approval Queues are shared by multiple people (i.e. AP Review). Each person given access to the queue will have visibility to all reports routed to that queue within their own approval dashboard. The items displayed in the approval dashboard can be filtered using a variety of filtering options.

Workflow is defined at Emburse Enterprise via Routing Rules. A standard set of routing rules are pre-configured for each customer.

Emburse Enterprise's best practice approach to workflow is as follows:

Delegate submitted reports route to the expense owner for approval

Route to the expense owner's manager/supervisor

Billable expenses route to person / people responsible for third party billing

Route to the GL allocation (i.e. cost center, fund, office) budget owner

Route to AP Review / Pre-Audit based on specified criteria, for example

Reports or line items greater than a certain threshold

Approval “clip levels” can also be accommodated such that the report is routed up the approval chain until approved by an approver with an appropriate approval limit

Many of our customers, when asked what they wished they did differently in their implementation, mention that they wished they listened to their project manager and simplified the approval workflow process. Emburse Enterprise has the ability to be extremely flexible in what we can deliver from a workflow perspective, however, we strongly recommend that you reassess your current workflow and strive for a more simplified approach, taking into consideration the overall process improvements and policy enforcement you will achieve simply by using Emburse Enterprise.

Approval Workflow

Embuse Expense Enterprise offers three types of delegation to allow users to create and/or approve expense reports for others

Emburse Enterprise users can assign delegates, sometimes known as proxies, to create and monitor expense reports and pre-approvals on their behalf. It is important to point out that delegates DO NOT have the ability to approve reports for their delegatee. The delegate will receive copies of any e-mail notifications regarding rejection or adjustment of reports created for the user.

Add your delegates from the Delegate Settings tab within SETTINGS:

Users who have given you delegate authority will be listed under your name (upper right). Counts of unapplied transactions and unsubmitted reports will be presented beside the name so you can tell at a glace if there is pending activity. Simply select the name to delegate to the user's account.

A Super Delegate is a special role typically assigned by a system administrator.

A Super Delegate serves as a delegate for everyone in the company/organization, without each individual user having to specifically grant delegation access. If company-wide access is not appropriate, the Super Delegate role can be configured to be restricted based on a particular profile attribute. Rather than see a list of names underneath their name, the Super Delegate is presented with a searchable selection list to find the employee they wish to delegate to.

An approval delegate is someone a user can assign to approve expense reports on their behalf. This delegation is a temporary assignment which allows the user to approve expenses and pre-approvals while the user is on vacation. Approval delegates will receive the approvals directly to their approval dashboard.

Capturing receipts with Emburse Expense Enterprise - The possibilities are endless!


It is important to be familiar with all of the receipt attachment choices and to promote the best options for particular situations required by your employees. These are just some of the solutions available:

Airline, hotel and car receipts received via email should simply be forwarded to the Emburse Enterprise receipt email address

Executive assistants may be interested in the Scan and Crop features ideal for loading a large number of paper receipts at once

For individual paper receipts, the ‘CR Snap’ mobile app or Direct Upload are most useful

All options are documented within the Emburse Enterprise Help application in the article titled ‘Add Images’

Emburse Enterprise’s Optical Character Recognition (OCR) functionality is a valuable feature offered to minimize the manual entry of receipt data. The OCR data extraction process attempts to identify and populate each of the following fields on your expense form:

Expense Type (this is achieved by searching for key words on the receipt, (e.g. if the word “hertz” is detected, the expense will be automatically assigned to Car Rental)

Full data extraction is nearly always achievable if the image falls under our best practice guidelines.

Factors that can affect success include: quality of the image,background within the image, legibility, condition of the receipt, and in some cases, the layout of the receipt (receipts from merchants that present data in an orthodox format have a much better chance of successful extraction). Consequently, the process may accurately extract all 5 fields or only some of these fields. The good news is that the user can easily add or correct them on the expense form. Here are some examples:

Meal receipts with a hand-written tip amount - we may only be able to retrieve the total prior to the tip (although this capability continues to improve!)

If the name of the merchant on the receipt is ambiguous, we may choose a different value to be the name as the merchant

Rest assured that Emburse Enterprise is constantly striving to move as close to 100% accuracy as possible. To that end, our OCR engine is in a state of continual iterative improvement. As new receipt formats and key words are identified, the OCR engine is adjusted to accommodate these.


It’s a good idea to set the expectation with your users that while the auto-population of expense data is a valuable convenience to reduce manual entry, factors outside the control of our OCR process can sometimes affect its accuracy. The user can easily correct any of these fields on the expense form.


Typical processing time to receive the image, perform OCR extraction and deposit the image into the user’s Receipt Gallery is less than 5 minutes from time of receipt at the Emburse Enterprise servers. Factors that can impact the processing time:

User is not online when email is sent from the phone

Network routing delays during transfer to the Emburse Enterprise server

Load on the Emburse Enterprise receipt batch processors. We constantly monitor and adjust the performance of these processes however longer times can occasionally occur

Your users may notice that a receipt image can appear in the user’s Receipt Gallery prior to the OCR process being completed. The OCR process may still be working in the background so it’s prudent to allow at least 10 minutes for the data extraction to occur. If the user attempts to create an expense from the image in the few minutes before the OCR process has completed, the five fields may not be populated.


The time for a receipt to appear and for expense fields to be auto-populated will be more noticeable during your testing of the system because you will naturally want to see the result as quickly as possible. In a live environment, most users will load receipts as they are incurred and complete their expense report much later, so even a delay of an hour will rarely be noticeable or a concern to your users.

Itemized hotel receipts (for customers that implement Emburse Expense Enterprise FOLIO)


The FOLIO process utilizes template receipt formats for all of the most popular hotel chains around the world. Hotel bills from these vendors will therefore process much faster than smaller boutique hotels which require additional processing:

Common hotel chains: Average processing time to receive the hotel bill, perform OCR extraction and deposit the image into the user’s Receipt Gallery is around 15 minutes from the time of receipt at the Emburse Enterprise servers.

Less common/boutique hotels: Processing time to receive the hotel bill, perform OCR extraction and deposit the image into the user’s Receipt Gallery can be up to 3 hours from the time of receipt at the Emburse Enterprise servers.

FOLIO process:
After the hotel bill is fully processed by the OCR engine it will be identified as a “Hotel Folio Receipt” in the Receipt Gallery instead of simply “Receipt”. The “itemized” icon will only appear once the processing has been completed. Once processing is completed the itemized icon will be visible and itemized entries will be shown. If the receipt is ultimately identified as not being a valid original hotel bill, the label will change back to “Receipt”.

Itemization will only occur if the image forwarded via email is the original hotel bill (PDF or HTML email), sent by the vendor. If the user sends a scanned or photographed copy it will likely be processed as a regular receipt and therefore may not be itemized.

Itemization will only occur if only one hotel bill is sent per email. If there are multiple hotel bills in the same email they will each be treated as regular receipts.

Receipt Handling

Pre-Approvals allow you to obtain authorization for expenses before they are incurred

If your company requires trips or certain other expenditures to be approved before purchase, you may be interested in using our Pre-Approval process. The Pre-Approval process requires an employee to submit a separate report, describing and providing the estimated cost for the expenditure.

Pre-Approval reports work similarly to expense reports in that compliance and routing rules can be put in place to enforce policy. Pre-Approvals are then linked to the actual expense report thus providing approvers and auditors with visibility into whether the actual spend was aligned with approved costs. Optionally, your system can be configured to populate the expense report header information and line items directly from the pre-approval.

Enforcing a Pre-Approval authorization process provides companies with better budget / cost control, as money is spent only on justified and approved items. The question to ask is whether your company requires the formality of having another report to govern the process, or if cost management by managers outside the system is sufficient.

Note: If you are utilizing the services of a travel provider, you may already have travel pre-approval built into that process

Pre-Approval

Emburse Expense Enterprise offers two approaches for handling cash advances

 approach. A running outstanding balance is maintained in the Emburse Expense Enterprise Piggy Bank which is visible to the employee on their dashboard. Out-of-pocket expenses are automatically applied to clear the cash advance, thus reducing the amount reimbursed to the employee. With this approach, it is important to note that the cash advance cannot necessarily be tied to a particular trip as the cash advance is offset by any out-of-pocket expense entered.

This approach is designed to handle the requirement that a cash advance be specifically accounted for as part of the expense report pertaining to the trip the cash advance was requested for. With this approach, a transaction for the cash advance is placed into the employee’s Emburse Enterprise e-Wallet. The employee can then apply the cash advance transaction to the appropriate expense report. The transaction is posted as a negative "pay me" amount and will serve to offset any out-of-pocket expenses entered on the report.

Cash Advances

Emburse Expense Enterprise allows Personal Charges to be clearly identified so that reimbursements are adjusted appropriately

For most customers, company policy does not allow personal use of the corporate credit card, however, it does happen, so we must give employees a way to identify all or a portion of an expense as personal. It is critical to discuss how these personal items should be handled in Emburse Expense Enterprise. The handling of the personal items generally varies based the type of corporate card program:

Companies / Organizations with CBCP credit card programs will typically pay the credit card statement in full each month. A reconciliation is then performed to tie the payment back to approved expense reports. When personal charges are identified, Emburse Expense Enterprise can be optionally configured to offset the out-of-pocket "pay me" amount of the report by the credit card personal amount. Using this approach will generally eliminate the need for the company to collect the personal amount from the employee. The application can also be configured without the out-of-pocket offset feature and simply identify, in the generated export file, which amounts need to be treated as employee receivable.

Typically with this card program, the employer will elect to only reimburse the corporate card provider the approved, reimbursable amounts submitted by their employees. Any personal charges would not be reimbursed and would therefore be ignored in the export and remittance process. Employees are responsible for paying the corporate card provider direclty for any personal charges.

Since the employee is responsible for paying the corporate card, there is no need for them to include personal charges on their expense reports. Partial line item amounts identified as personal would be set to $0 "pay me" and ignored in the export process. Employees will submit and receive reimbursement for their approved, reimbursable expenses only. They will then be responsible for make the full payment to the corporate card provider, including any extra personal charge amounts.

 The out-of-pocket offset approach IS CURRENTLY 

 SUPPORTED by our Direct Pay Employee Reimbursement feature. Customers using Direct Pay to pay employees must handle employee receivables for all corporate card personal charges.

All Emburse Enterprise users have access to free, unlimited, on-demand education through our robust
